The Fixed Structure Method
Keeping a digital infrastructure clean does not require complex software, but a simple shift in mindset. The most effective method is to adopt a universal folder structure that repeats identically in every project or business area.
Instead of creating folders on the fly based on what you need at the moment, try structuring your projects with these macro-categories every time:
01_Admin: Documents, quotes, invoices.
02_Assets: Photos, videos, logos, raw resources.
03_Work: Open files you are working on (e.g., .psd, .docx).
04_Exports: Final files ready for delivery or publication.

Naming is Everything
The universal search on our operating systems is powerful, but to work well, it needs a consistent language. Adopt a file naming convention and stick to it.
For example, using the format "YYYY-MM-DD_ProjectName_FileType_v1" ensures that when sorting by name, all your files are automatically sorted by date as well. It's a lesson that comes directly from old operating systems, where alphabetical order was the only salvation.
Regular Decluttering
Establish a "Friday cleanup". Dedicate the last 15 minutes of your workweek to clearing your Desktop, moving downloaded files to the right folders, and deleting anything that was just a temporary test. It's like closing the shop at the end of the day: the next morning, returning to a clean digital environment will give an incredible boost to your productivity.
